Creating Your First Project
Learn how to transform a blank questionnaire into a file of sourced and verified answers in minutes.
Project creation is the first step to automating your responses to RFPs and security questionnaires. By centralizing your documents and your questionnaire in a secure workspace, OptiValue.ai generates a first draft, identifies relevant evidence, and analyzes any gaps in your documentation.
Here is how to launch your analysis:
Step 1: Initialize the Project
From your main dashboard, click on the "New Project" button (or the + icon). A configuration window will open.
Step 2: Define the Context
Fill in the essential information to guide the AI:
-
Project Name: Choose an explicit name (e.g., "Client X RFP - Q4 2024").
-
Response Language: Select the language in which you want the responses to be drafted. OptiValue.ai supports 109 languages and can analyze source documents in a different language from the questionnaire.
Step 3: Import the Questionnaire
This is where you submit the client or auditor's request.
-
Drag and drop your file (Excel or Word) into the dedicated area.
-
The AI automatically identifies the document structure.
-
Tip: Ensure the file is not password-protected to guarantee smooth reading.
Step 4: Connect the Knowledge Base (Your Sources)
To "Answer Right" and "Prove," the AI must access your internal truth.
-
Select your sources: You can choose documents already present in your secure library or import new ones on the fly (Security Policies, old RFPs, Technical Data Sheets).
-
Confidentiality: A reminder that your documents are encrypted and used exclusively for your project, without ever training public models.
Step 5: Launch and Results
Once the sources are validated, click on "Launch Analysis." In just a few minutes, the platform will:
-
Read and understand all the documents provided.
-
Draft a proposed answer for each question.
-
Link each answer to a traceable evidence (document and page) via the Evidence Builder.
-
Generate a Gap Analysis to identify missing or obsolete documents.
Next Step: Once the analysis is complete, access the review interface to validate the answers, check confidence scores, and export your final file.
