Creating Your First Project
Learn how to transform a blank questionnaire into a file of sourced and verified answers in minutes.
Project creation is the first step to automating your responses to RFPs and security questionnaires. By centralizing your documents and your questionnaire in a secure workspace, OptiValue.ai generates a first draft, identifies relevant evidence, and analyzes any gaps in your documentation.
Here is how to launch your analysis:
1. Project Initialization
-
Navigate to the Projects tab in the left sidebar.
-
Click the New project + button at the top of the interface.
2. Step 1/4: Project Information
-
Project Name: Enter the name of your project (e.g., RFP).
-
Description: Add a description to make it easier to search for later.
-
Language: Select the desired response language from the dropdown menu (e.g., English).
-
Click Next.
3. Step 2/4: Uploading the Questionnaire
-
Import the file containing the questions (supported formats: .xlsx, .docx, .pdf).
-
Use drag-and-drop or the file picker to upload your document (e.g., Exigences.AO.xlsx).
-
Click Next.
4. Step 3/4: Selecting Reference Documents
This step defines the knowledge base the AI will use to generate answers.
Using existing documents
-
Check the boxes for the relevant documents in the list.
-
Use the Directory filters or the search bar to isolate specific folders.
Adding new documents
-
If necessary, click the + icon in the Documents section.
-
Create a new directory (e.g., New RFP Test).
-
Upload your source files (PDF, DOCX, etc.) via drag-and-drop.
-
Once the upload is finished (status: Completed), select them for the project.
-
Click Next.
5. Step 4/4: Data Extraction and Verification
-
Column Configuration: The tool automatically extracts data. Verify that the Requirements (Questions) and Answers columns match the correct columns in your source file (e.g., Column E for questions, Column F for answers).
-
Preview: Review the data accuracy in the preview table.
-
Click Launch Analysis.
6. Analysis and Results
Once the analysis is launched, you will access the project dashboard:
-
Confidence Score: View the overall confidence index and the breakdown per question.
-
Generated Answers: The AI suggests an answer for each question based on your reference documents.
-
Sources: Each answer is linked to the source documents (e.g., 3c-DC2.pdf) with specific page references for verification.
-
Actions: You can edit answers, manage sources, restart the analysis, or export the final project within the current page.
